Unpacking the Container

The Setup Crew will open the Village container. The flagging supplies are the first things to unpack from the container, followed by the grid equipment (cables, spider boxes, and distribution panels). Those items should be the last things packed into the container at the end of each event so they are easily accessible at the beginning of the next event. The Setup Team should not need to unpack many other materials before accessing the grid. The inflatable kiddie pool should be set up as soon as there is any fuel to store. T-stakes and orange fencing can be set on the side of the container and may be set up as a perimeter around the generator.

Items that get unpacked should be moved to the location where they will be set up. The shower infrastructure should be moved to where the shower will be set up so the crew who are setting it up have everything they need when they start.

The Unpacking Lead will make a list of the items that they need from the container in the order that the item is needed and then indicate whether those items were stored in the front, middle, or back of the container.

Unused items should be stacked neatly beside or inside the container.

At the end of unpacking, the Unpacking Lead will take photos of the items that are unused. Then, post the photo to the Village Google Drive, and email it to the Mayors and Packing Lead. The list they made during unpacking should be given to the Packing Lead to make sure items are put back in the container in the reverse order, so the most-needed items are packed last.

Packing the Village

On Sunday, as Village infrastructure is taken down, items are staged around the container for inventory. Most of the actual packing is done on Monday.

On Sunday, the Packing Lead should make a list of what items were not used in the Village. If an item is not used for more than 2 years, the Mayors should consider whether it should be kept. The Packing Lead should refer to the list made by the Unpacking Lead to guide the order in which items are stored in the container, to make unpacking easier the following year.

On Monday Morning, the remaining Village Infrastructure needs to be taken down so it can be staged near the container. Various camps are given responsibility for disassembling Village infrastructure. They will bring the infrastructure to the container, tell the Packing Lead what it is, and ask where it can be staged.

On Monday, the packing lead, packing assistants, and packing tributes (one from each camp) will meet at a prescheduled time. There should be two to three shifts for packing – it’s a hot, tiring job.

The first shift will mostly be responsible for making sure that the assigned teams have taken down all the Village infrastructure, sorting the trash from the treasure, and staging items so they can be put away in a rational order.

The Packing Team will use the notes from the Unpacking Lead to pack the bulky, heavy items that are not needed for Village setup until the middle or end of build week, like the Village Showers. Throughout the packing process, the Packing lead (or a delegate) will take photos of the packing process that can be referred to for inventory, posted to this page, and guiding unpacking the following year.

After packing is complete, the Packing Lead should take a photo of their list(s), upload all photos to the Village Google Drive, and email links to the Mayors.

The last-mayor-standing should be notified that packing is complete and be present to lock the container, if possible.
